Trial session requests, cancellation confirmations, member questions: who handles them next to the training?

In the studio you work on the floor and at the front desk while the emails pile up: trial sessions, cancellations, member questions, complaints and trainer applications. The Business Optimizer captures every message as a case, prepares the reply draft with appointment proposals from your calendar and reminds you to follow up. You decide, the software prepares.

Your day-to-day

Many requests, little time at the desk

In a fitness studio, messages often arrive when nobody sits at the computer. This is typical:

Trial session requests

Prospects write through the form or by email and want an appointment quickly. Whoever answers the next day may already have lost them.

Cancellations and contract changes

Members cancel, change their contract or pause it. Someone has to read out the details, check the notice period and write a confirmation.

Member questions

Opening hours, classes, contact details, a certificate: most are quickly settled but get lost in the daily routine.

Complaints

A broken machine, a crowded class or a misunderstanding at the desk. Complaints need a prompt, calm answer.

Silence after the trial session

Whether the guest wants to join is rarely asked, because the next session is already running.

Trainer applications

Applications arrive between enquiries and advertising, and attachments first have to be opened and sorted.

Typical workflows

Six workflows that come up in the studio all the time

Each workflow is a case type with its own fields and status values. The person decides, the software captures and prepares.

Cancellation and contract change

Cancellation confirmation as a draft

Input: email, form or attachment. Captured are the member, the requested end of contract and the reason; missing details stay empty and are requested. Prepared: a cancellation confirmation as a draft in your tone. You decide: whether the cancellation applies, a person checks the notice period.

Trial session

Request with appointment proposals

Input: web form or mailbox. Captured are name, contact details and preferred time. From the free slots in your Outlook calendar, the Business Optimizer proposes suitable appointments in the draft, reading only times and status. You decide: which appointment applies.

Follow-up

Following up after the trial session

If a case is waiting for the guest to reply, a follow-up draft is created. If there is no answer, no further draft follows after the set number of reminders, and the software gives up. You decide: whether and how to follow up.

Member enquiry

Capture the question, prepare the answer

Input: email or form from a member. Captured is what it is about, including from the attachment. Prepared: a reply draft with your text blocks. Requested documents are sent after a person approves them. You decide: what goes out.

Complaint

Complaint with status and responsibility

The complaint is captured as its own case and assigned to the responsible team member. Status values such as "under review" or "reply to member" are timestamped in the history, and the member is informed by email. You decide: how to reply.

Application and spam

Trainer applications, filtering out advertising

Applications are captured as their own case type and attachments are filed. Newsletters, advertising and system messages are filtered out beforehand and trigger no case. On request the result goes to your CRM as an entry or to your systems by webhook.

An example

From the trial session form to a reply draft with appointment proposals

The incoming message is on the left, the result in the Business Optimizer on the right, up to the later follow-up. All values are invented sample data.

Input (sample data)

Form: request a trial session

From: Max Beispiel, max.beispiel@beispiel-mail.de

"Hello, I would like to do a trial session, preferably on weekday evenings or Saturday mornings. I have no experience with the machines yet. My number: 0000 000000."

The request arrives through the web form. The Business Optimizer recognises a trial session request and opens a new case with a number.

The draft waits in the Outlook drafts folder, with signature and your text blocks. A person checks it and sends. If the guest does not reply after the trial session, a follow-up draft is created at the reminder date.

Which message is sitting unanswered in the mailbox right now?

In the intro call we look together at your trial sessions, cancellations and member enquiries.

What the customer notices

Fast reply, clear status, nothing gets lost

The prospect receives a confirmation of receipt with the captured details and concrete appointment proposals instead of an open question. If something is missing, a targeted question follows. Every outgoing email carries the case number in the subject so replies reach the right case.

Members learn by email where a cancellation or complaint stands and have to ask less. In the live monitor you can see at any time which case is at which step, and in the history what happened when.

What you keep

The decision

Whether a cancellation applies, which appointment stands, what you reply to an annoyed member and which trainer you invite remain your decisions. A person checks the notice period. The Business Optimizer takes over capturing, sorting, reminding and drafting, not responsibility. Replies reach you as drafts, and automatic sending exists only as an option you switch on deliberately per type. Every new case type starts in observe mode without triggering anything.

More on the pages Requests left waiting, Fewer calls, more clarity, Deadlines and escalation, Incoming invoices and Money left on the table. The overview is on the Business Optimizer page, and you can work out the benefit in the time calculator with your own assumptions.

Questions & Answers

FAQ

Have further questions? Feel free to contact us directly via our contact form or by e-mail.

How does the Business Optimizer handle a trial session request? +

It captures name, contact details and preferred time from the form or email, confirms receipt and asks for missing details. The reply waits as a draft in your tone, and a person sends it.

Does it propose appointments from my calendar? +

Yes. It proposes suitable appointments in the reply draft from the free slots in your Outlook calendar and reads only times and status, never titles, attendees or contents. You decide which appointment applies.

Who checks the notice period for a cancellation? +

A person does. The Business Optimizer captures the details from the email or attachment and prepares the cancellation confirmation as a draft. Whether and when the cancellation applies is your decision.

Is there a follow-up after the trial session? +

If a case is waiting for the guest to reply, a follow-up draft is created. If there is no answer, the software gives up after the set number of reminders. Sending happens after your approval.

Where does my data run, and what about data protection? +

Operation takes place in Germany, and on request we use only European AI models. Emails and forms are treated as data, never as commands. Tenants are separated, and roles control who sees what.

How does onboarding work? +

In the intro call we clarify your inputs and case types. Every type starts in observe mode without triggering anything and goes live only after your review. Set-up and billing by effort.
