An incompletely documented and partially understood process led to uncoordinated workflows within an organization. The lack of transparency between stakeholders resulted in additional coordination loops, misunderstandings, and significantly longer lead times. The goal was to analyze the process structure, uncover optimization potential, and implement a clearly defined target process that works efficiently and transparently.

Our Approach

First, the existing as-is processes were captured, taking into account the perspectives of all stakeholders to gain a comprehensive view of the current workflows. After the analysis, optimization opportunities were identified and a modeled target process was developed to meet the requirements of all stakeholders. This target process was validated with stakeholders to ensure acceptance and feasibility.

Based on the agreed changes, the necessary IT structures were created to support the target process technologically. During the rollout phase, we actively supported the implementation of the new process to ensure that the changes were smoothly integrated into daily operations.

Our Solution

The optimized process flow is now known and fully documented by all parties involved. The structure of the new workflow provides a transparent view of completed and upcoming process steps. This has improved collaboration between stakeholders, reduced coordination loops, and significantly shortened processing times. The new workflow is not only efficient, but also flexible and scalable for future needs.
